Who are we?

Bespoke Family Ltd (‘we/us’) is a family consultancy and training business. The privacy of personal data is extremely important to us and we will only use your personal data in accordance with the terms of this notice.

We only record information that is relevant. As well as your contact details such as names, addresses, email addresses and telephone numbers we may collect the following information: 

If you are a visitor to our website or made an enquiry about our services or you are a supplier to our business or you work with our clients:

  • personal information of third parties that you provide us in the course of business which are necessary for the conduct of our business, under our agreement with clients or suppliers

In addition, if we have an agreement with you to provide services:

  • personal details of your child(ren), including names and ages

  • records of our communication, such as phone or written correspondence

  • information on your marital status and next of kin

  • information about the child(ren)’s development / interests and personal requirements of the family

  • we may also record sensitive personal data such as health/medical history, racial or ethnic origin, sexual orientation or religion/belief (where this is relevant for the work that we do for you)any other information that you believe is necessary for us to know

What types of information do we collect?


We collect this information through personal contact with you, via email and on the telephone. We also collect information via our website www.bespokefamily.co.uk.  Please note our website does use cookies, which are designed to enhance your user experience. You can disable these cookies if you wish to do so. Cookies will record anonymised information from your device.

How do we collect this information?


The purposes for which we may use your personal data include:

  • to provide you with business proposals and quotes

  • to deliver consultancy and training services to you pursuant to an agreement with you

  • administration purposes (eg issuing invoices)

  • complying with obligations imposed by law or regulation

  • improving the performance and usability of our website and services

  • updating you on our services, events and changes to our business

How do we use personal information?


We process your personal data only on the following basis:

  • where you have given consent for us to process your or your children’s personal data

  • where necessary for the provision of goods/services under an agreement with you

  • where required to comply with the law

  • when we have a legitimate interest in processing information for the purpose of our business

What legal basis do we have for processing your personal data?


We will not share any of your personal data with any third parties subject to the following exceptions:

  • we will only provide your data to a third party in connection with the work we are doing for you.  This may include your personal data or those of your child(ren) when you have agreed that we can do so under our agreement. This may include the engagement of nanny agency/recruitment services where necessary. We will limit the information we share with those third parties to only what is necessary to enable us to provide you the services you have asked us to provide

  • it may be necessary for us to share certain personal data, which may include yours, if we are ordered by the court or other governmental authority to do so or are otherwise involved in legal proceedings or complying with legal obligations

  • if we sell or merge parts of our business or assets, your personal data may be transferred to a third party. Any new owner of our business may continue to use your personal data in the same way that we have, as specified in this notice

  • if it is ever necessary for a third party to process data on our behalf, then they will only do so under our strict instructions.

When do we share personal data?


We have in place appropriate security measures to prevent personal information from being accidentally lost, used or accessed in an unauthorised way, altered or disclosed.

How do we keep data secure?


If we have an agreement with you then your data is kept until our agreement comes to an end and for an appropriate period thereafter. Otherwise we will keep your data for a reasonable period in the circumstances, typically this might be for 12 months after collecting it. Data which is out of date or not relevant to the current situation is deleted (eg emails / reports).

How long do we keep your personal data for?


We may need to change this privacy notice from time to time. This may happen if the law changes or we change our business in a way that affects personal data protection. Any changes will be made available on our website.

Changes to this privacy notice


The GDPR provides the following rights for individuals:

  • The right to be informed about how your personal data is collected and used

  • The right of access - to obtain access to and copies of the personal data that we hold about you 

  • The right to rectification –to ensure your personal data is accurate and complete and request that this is updated if inaccurate/ incomplete 

  • The right to erasure (‘the right to be forgotten’). You can request to the deletion and / or removal of your personal data providing there is no compelling reason for us to continue processing it

  • The right to restrict processing - to require us to restrict our data processing activities

  • The right to data portability – you can obtain and reuse your personal data for your own purpose.

  • The right to object – to object to us sending you marketing communications or that we cease processing your personal data if the processing is causing you damage or distress 

  • Rights in relation to automated decision-making and profiling

  • The right to withdraw consent at any time (please note this may affect the services we are providing you)
